How to Deal With Client Conflicts
We’ve all had that tricky client, one that constantly steps over your boundaries, constantly asks for revisions for free and doesn’t pay on time. As freelancers, one of the most challenging aspects of our work can be navigating client conflicts while maintaining healthy boundaries. Whether you're a writer, designer, developer, or any other type of freelancer, dealing with disagreements and setting clear boundaries can be stressful and emotionally draining. However, it is essential for a successful and sustainable business. If you’re in a bind with a client right now, here are a few strategies to help you navigate conflict and establish boundaries effectively:
Communication is Key:
Effective communication is the cornerstone of any successful relationship. When you start with a client it can be easy to just fall into people pleasing, which can affect you down the track. Be proactive in setting expectations from the beginning, clearly outlining project scope, timelines, and deliverables. Regular check-ins and updates can help prevent misunderstandings and keep the client informed of your progress. When working remotely, it can be especially useful to send your retainer clients summaries of your work completed each week, that way each party knows exactly what work is being done.
Listen Actively:
When conflicts arise, listen actively to your client's concerns without interrupting or becoming defensive. Understand their perspective and try to empathize with their frustrations. Repeat what you've heard to ensure mutual understanding and to show that you value their input. When you listen to their concerns actively, it can diffuse the situation and help them feel heard making them more receptive to your feedback.
Stay Professional:
Regardless of what is happening, it’s crucial to remain professional, even in the face of a frustrating conflict. Avoid taking things personally and refrain from responding impulsively. If you find yourself feeling fiery while they’re speaking, try counting to ten in your head. You’ll be amazed at how well this works! Doing this helps me remain calm and prevents me from saying something I may regret. Once they give you space to speak, respond calmly and objectively, focusing on finding a solution that satisfies both party's needs. Avoid using accusatory language, this can be difficult, especially if the other party is blaming you for something you feel isn’t your fault. However, by avoiding this style of communication you will help maintain your cool and avoid escalating the situation.
Set Clear Boundaries:
Establishing clear boundaries is crucial for maintaining a healthy client relationship and avoiding conflict down the line. Clearly define what is and isn't included in your services, as well as your availability and preferred method of communication. Let clients know upfront if certain requests fall outside of the agreed-upon scope and discuss any additional fees or adjustments that may be necessary.
Know When to Say No:
As a freelancer, it's important to know your limits and when to say no to unreasonable demands or requests that don't align with your values or services. Sometimes as a woman, it can be hard to set boundaries. I often find myself falling into people-pleasing patterns or just wanting to make clients happy. Learning to set boundaries and decline projects that aren't a good fit can help you avoid burnout and maintain your integrity.
Document Everything:
If you take one thing from this blog, please let it be this tip! Keep detailed records of all communication, agreements, and changes throughout the project. Having a written record can help clarify misunderstandings and protect you in the event of disputes. Keep those receipts people!!!
Seek Resolution:
In the event of a conflict, focus on finding a resolution that benefits both you and your client. Be open to compromise and willing to explore alternative solutions to address their concerns while still upholding your boundaries and professional standards. You would be amazed at how many people will continue to recommend your services if you can exit a conflict on good terms, it may not be the person you had the direct conflict with but others on the team. People will respect you for trying to find a solution even amidst an uncomfortable situation.
Learn from Every Experience:
Every client conflict presents an opportunity for growth and learning. Take the time to reflect on what went wrong and how you can prevent similar issues in the future. Use feedback from clients to improve your processes and communication skills. It’s difficult at the time however, every tough experience in business leads to valuable lessons learned.
Consider Contracts:
Utilize contracts that clearly outline project details, deliverables, timelines, and payment terms. Contracts provide you with legal protection and serve as a reference point in case of disputes.
